Lead Intake & Sales Follow-Up

New leads get a fast, consistent first response—without you refreshing your inbox.

Why this made the list

The problem

Leads show up from a form, an email, a DM, or a referral—and each one needs the same things: a fast reply, the right context, and a note somewhere so it doesn't fall through. Right now that assembly work happens in your head, under time pressure, which is exactly when things get missed.

This touches every deal you'll ever close, it happens constantly, and speed-to-response is one of the few things in sales that's almost entirely mechanical.

I copy their info into a Notion tracker so I don't lose it

  6. 6

You step in for real conversation once they're warm

    Human

What changes

  • The first reply drafts itself instead of waiting on you
  • Every lead gets logged the same way, automatically—no more manual copy-paste
  • Follow-up happens on a schedule instead of depending on memory
  • You only get pulled in once a lead is qualified or ready to talk price

Who owns what

AI

  • Draft the first response in your voice, referencing what the lead actually asked
  • Summarize a lead's inquiry into a few clean lines for your records
  • Flag anything that sounds like a high-value or unusual opportunity

Automation

  • Pull new leads from every channel into one place
  • Deduplicate the same person showing up twice
  • Send scheduled follow-ups until someone replies or opts out

Human

  • Approve or edit the AI's first draft before it goes out (at least at first)
  • Have the actual sales conversation once someone's engaged
  • Decide pricing, terms, and whether to take on the work

Tools & data

Recommended tools (mostly what you already use)

  • Gmail
  • Your existing form or CRM
  • Claude

New tools needed

  • A lightweight automation layer (n8n or Zapier) if you don't already have one

Inputs

  • Inbound form submissions
  • Inbox messages
  • Your past replies, as a style reference

Outputs

  • A logged, deduplicated lead record
  • A sent or drafted first reply
  • A scheduled follow-up sequence

You told us this happens 3-5 new inquiries a week and takes about 15-20 minutes per inquiry, more if I put off replying each time—that's real, recurring time this system gets back.

Implementation plan

01

Connect the channels

Wire up the form, inbox, and any other lead source to a single intake point.

02

Teach it your voice

Feed it 10–20 of your actual past replies so drafts sound like you, not a template.

03

Start in review mode

AI drafts, you approve, for the first few weeks—until you trust it enough to loosen the leash.

04

Turn on the follow-up sequence

Add the scheduled nudges once first-response is solid.

Reliability considerations

  • Draft replies should be reviewed before sending until you've seen enough of them to trust the pattern
  • Ambiguous or unusually large inquiries should route to you, not get an automatic reply

Security considerations

  • Lead contact information should stay inside tools you already control—nothing new to secure
  • No lead data needs to leave your own systems to make this work

Two paths

Build it, or hand it to us.

Both are real options. Neither is the wrong answer.

Build it yourself

Take the instructions and build it.

A real implementation package—architecture, prompts, workflow logic, and testing steps. If you or your developer can follow it, you don't need us.
